Benvenuto Board Positions

THE PRESIDENT: presides at all monthly meetings of the Board of Trustees and of the general membership, and takes ultimate responsibility for Board decisions: Her duties include:

  • keeping all Club documents and the Policies and Practices Man-ual up-to-date
  • along with the Treasurer, financial responsibility for the Club
  • appointing chairpersons for any committees deemed necessary by the Board.
The President also represents the Club at functions.
 
CURRENTLY: MARGARET ZANENGA


THE VICE PRESIDENT: not only performs the duties of the Presi-dent in her absence, but is responsible for organizing the monthly Main Coffees and Neighbor to Neighbor events. She is also the liaison with the Circolo Volta for any event sponsored by Ben-venuto. Her duties include:

  • securing or reconfirming the premises for the Main Coffee
  • handling monthly catering needs and arranging baby-sitting service
  • providing information on the Main Coffee each month for publication in the magazine
  • appointing and working closely with the Neighbor to Neighbor Chairpersons
  • setting up a calendar of events for summer activities (along with the incoming VP)

CURRENTLY: CHIARA GOYA


THE SECRETARY: takes accurate minutes of business conducted at Board Meetings, General Business Meetings, Neighbor to Neighbor Coordinator meetings and Subgroup/All-Sort meetings. Her duties include:

  • maintaining a file of all past minutes from the Club's inception
  • preparing the correspondence of the Club (letters/greetings cards/legal commitments)
  • ordering and maintaining Club stationery and office supplies
  • updating and distributing the Policies and Practices Manual
  • updating Club insurance policies each year and the inventory of all Club property.

CURRENTLY: ANN CURRIE


THE TREASURER: is responsible for the budget, for the collection and disbursement of funds, and for presenting a financial state-ment at each Board meeting. Her duties include:

  • presenting an Annual Budget (September) and Revision (February)
  • countersigning (along with the President) checks and financial documents
  • acting as liaison with the commercialista and arranging for out-side review of the books at the end of the year
  • collecting Quarterly reports from Subgroups

CURRENTLY: position open


THE MEMBERSHIP DIRECTOR: is responsible for organizing the renewal of memberships at all Main Coffees, and maintaining accurate membership records. Her duties include:

  • producing a Membership Directory (December) and addendum (April)
  • providing labels for the Benvenuto on a monthly basis
  • providing a monthly list of membership for distribution to the Board
  • staffing and organizing the renewals and check-in tables at all Main Coffees
A computer is provided by the Club and Microsoft Access is used for the database.
 
CURRENTLY: AMY LA VIA


THE NEWCOMERS DIRECTOR: is the first contact for the new-comers to the Benvenuto Club. She welcomes, enrolls, and orien-tates new members at each Main Coffee. Her duties include:

  • collecting new members' dues and preparing new badges
  • planning and implementing the monthly Newcomers Coffee
  • preparing the Newcomers' Package and updating its contents
  • giving the Benvenuto Editor a brief description of each new-comer for printing.

CURRENTLY: SAMANTHA ANTCLIFF


THE COMMUNITY SERVICES DIRECTOR: is responsible for or-ganizing and promoting volunteer activity in those charities se-lected each year. Her duties include:

  • responsibility for the Club's fundraising activities (bazaars/ raffles/book sales)
  • presenting a detailed statement of funds raised for and disbursed to charities monthly
  • coordinating the annual selection of Club charities
  • ensuring that a Community Services table is staffed at each Main Coffee and that activities are adequately publicized.

CURRENTLY: CLEOTILDE JUAN DONEGAN


THE SPECIAL ACTIVITIES DIRECTOR: is responsible for setting up all the special activities of the Club (luncheons/trips/lectures/ shows/tours/events). Her duties include:

  • organizing a table at each Main Coffee where information and sign-up sheets for upcoming events are available
  • handling the money for any activity where a fee is involved
  • writing monthly articles for the Benvenuto detailing activities for the coming month.

CURRENTLY: MARIA PIA DOLCI


THE EDITOR: produces the Club monthly newsletter (from September through June), assuring that it accurately reflects the programs and policies of the Club. Her duties include:

  • setting up a timetable with the printer to have copies ready for distribution each month
  • collecting articles from Board members, subgroups and contributors
  • managing the monthly proof-reading meetings
  • keeping accurate records of ads, articles and distribution figures each month.
The Club supplies hardware and software.
 
CURRENTLY: GEORGIA JACOBS


THE PUBLIC RELATIONS DIRECTOR: acts as the Club's liaison externally among the Club and English-speaking community, and internally between the Board and membership. Her duties include:

  • contacting schools, consulates, support groups and keeping them informed of our presence
  • making sure all Benvenuto groups are aware of current Policies and Practices
  • coordinating all solicitation for funds and sponsorship
  • collecting annual reports from subgroups.
